When a new employee joins an organisation, new accounts need to be created in multiple systems, according to his / her role. Systems in a typical organisation tend to be disparate and disconnected. So, the IT team might have no option but to create the user accounts manually. This is a mundane task that we humans are not designed for! Human error in provisioning of these accounts results in loss of productivity and dissatisfaction for the new hire. First impressions count!

During the course of the employment, the employee could be authorised additional access to systems, over and above his / her standard role requirements. If the provisioning process is manual, this additional privileged access is likely to become the norm for that role moving forward. Because new hires are often granted the same access as the person they are replacing. Privileged access beyond the minimum specified means more users have access to confidential data & systems, exposing the organisation to greater risk.

Once the employee leaves the organisation, human error in manual de-provisioning could mean certain access rights may not get revoked. The risk is higher for any non-standard privileged access that the employee might have been granted during the course of employment. So, the employee might resign from the organisation, but still have access to confidential data. This exposes the organisation to significant risks around data breach, while the organisation continues to pay for additional software licenses (and any other IT asset) for the employee.

Once an employee has been approved for hiring for a particular role, our RPA bot logs into each system and creates user accounts required for that role. This ensures smoother on-boarding experience for the employee.

The Bot also remembers any additional authorisation provided to the employee during the course of employment. So, when the employee resigns, all system access is systematically removed by the robot. The Bot is not human. So, it does not commit human error!
