On a daily basis, using an unattended UiPath bot, logs into the LexisNexis Coplogic online portal, downloads crash report PDFs into a local folder, uses Abbyy Flexicapture integration to scan the PDF report (OCR, ICR, MCR), and populates the report data into Tyler New World Law Enforcement Records Management System (LERMS).

Many Police Departments use LexisNexis Coplogic for crash report management and New World Law Enforcement Records Management System (LERMS) to manage records. Police departments prefer data to be managed centrally for monitoring and analysis of Police activities. The two applications offer no integration between each other. As a result, this required a Records Clerk to manually transfer the data from one system to the other. Due to higher priority records management responsibilities, the Records Clerk had not been able to attend to the task and as such, the department was facing a six-month backlog of crash reports to LERMS. The Department produces over 1,200 crash reports each year. At one point, the department requested a part-time employee to help with this, but the request was denied to due budgetary challenges. The solution allowed for the department to eliminate the backlog and provide up-to-date records management while not having to hire any additional staff. Additionally, when crash reports had been entered into LERMS manually, only the minimum required data was entered into LERMS, in order to expedite the process. The department's best practice was to enter as much data into LERMS as possible. The fast and accurate data entry ability of RPA allowed for 100% of the crash report data to be entered into LERMS, thus making LERMS a more powerful reporting tool for the future.
