As part of their migration project from SAP ECC to SAP S/4HANA, a large enterprise UiPath customer had to create and update hundreds of SAP users. User creation was required when new employees joined the project, and also for testing purposes, to simulate users with different roles. All these activities were historically performed manually and required many repetitive steps. They were also prone to error. The UiPath solution deploys a robot that reads the requested changes from an Excel file and then performs all corresponding actions in SAP S/4HANA. The business user can focus on relevant project activities and leave the mundane tasks to the robot. Sample use case: Handling incoming invoices and payments to vendors 

Many of our customers use the pre-built activities of the Accelerators for Finance to automate month-end-closing tasks or for reading, entering, booking and paying incoming invoices. For invoice payment, the workflow starts with the storage of the incoming invoice, ready for the UiPath robot to pick up.  The robot uses document understanding technology to extract data from the invoice, then checks the extracted invoice data against the matching purchase order. The robot enters the extracted data into the SAP system using the UiPath activity for creating and posting an incoming invoice from the Accelerator (SRC_BAPI_INCOMINGINVOICE_CREATE_v2.2_E). The invoice is booked in SAP and the payment is scheduled by using another activity from the Accelerator.

One of our automotive clients had a manual process that required employees to use SAP ECC, email, spreadsheets, and a desktop web portal. The workflow was frustrating as it took an average of three hours to handle one purchase request. On top of the tedious process, a lot of errors occurred. The solution was to implement a robot that picks purchase requisitions from the web portal.  The robot enters the information from the purchase requests in SAP, using the activity “Create a new purchase requisition”, checks for approvals via email, and finally creates the purchase orders with the activity “Create a new purchase order”. This improved employee experience by reducing the processing time by 78% compared to the original process, eliminated errors and accelerated the benefits from digital transformation.

The UiPath Accelerators for SAP ECC for Sales offer a wide variety of pre-built activities for typical automations that UiPath customers use on top of SAP ECC to automate their Sales processes. 

An example activity in our Accelerators for Sales is a “Create new Sales Order” Activity. This activity allows users to create a new sales order in SAP via the BAPI (similar to using the SAP transaction code VA01) using the input data from an Excels Spreadsheet. In combination with our Salesforce connector, customers can now automate the full sales order creation process. When a sales order has been marked as “closed won” the Salesforce connector kicks off the robot, which then enters the customer and sales order data in SAP, and books the new sales order. Additional steps such as preparing for the delivery or notifying other internal teams can also be included as part of the automated workflow.
