**Overview:**

In today’s global workforce, a slow purchase order process can cripple supplier relationship.  Streamlining communications and minimizing labor-intensive administrative process risk is of paramount importance to any Purchasing department.

  

The PO Distribution bot created by Thirdware helps remove human intervention & improve communication in the Purchasing process.

  

The bot triggers on a daily or hourly basis to log into Plex System (classic version), identifies all Purchase Orders with “On Order” status, and sends it to the Supplier and buyer.

  

  

**Tasks:**

*   Login into Plex (Classic Version).
*   Filter the Purchase orders with "On Order" status.
*   Emails Purchase Order .pdf to a pre-configured Supplier email address, as well as internal team members.

The BOT demonstrates the Receipt Matching Process Using UiPath Automation Tool. It uses the Source Excel File to look for the Orders that require Receipt Matching. You can see the End to End Process right from logging into the Application, navigating to the respective Menu, entering the order no and doing the receipt matching. It repeats the process for all available order nos in the Excel file and only after that the BOT stops.

UiPath automation tool performs web data scraping to navigate to each portal one by one and based on the pin code of a particular city or name of the particular city in a country, it extracts the full address of that specific dealer along with its contact information and services provided from the web portal and saves the information in an Excel sheet for further analysis.

This solution will fetch the data from the XML invoice files on a daily basis and insert it into the datatbase to create a voucher in QAD Application.

Some suppliers may send  the invoices in XML format. This process of invoice booking into QAD begins with the extraction of required data from the XML file like Supplier, Invoice Date, Invoice Amount, Invoice Numbers, Taxes, Purchase Order Number, Shipper Number. Then extract the QAD unvouchered receipts report to perform matching against the invoice amount. Once the invoice amount and receipt amount match those invoices, it needs to be vouchered into the QAD application. This entire process is automated.

  

**Solution**

  

By using the UiPath tool, the required data to process the invoice is extracted from XML files and consolidated/formatted into an Excel. The unvouchered receipts report is extracted from the QAD application, then validation is performed against the invoice details to match the amount based on Purchase Order number and shipper number. If the record has matched against the receipts, then the process of booking the invoice begins. 

The bot logs into the QAD Application to book the matched invoices to include valid fields like Invoice Number, Invoice Date, PO#, Receipts, Invoice Amount, Taxes etc., booking is completed and the summary is generated to include the generated voucher number for every booking.

  

This bot helps in completing the entire process of extraction of data from XML and creating the invoice in QAD in a swift way, eradicates human intervention and completes the task without errors.

· UiPath validates the extracted data from XML with the unvouchered receipts report from the QAD application.

· Once the validation is completed, it matches the invoices with receipts based on PO#.
